Software we run ourselves.

Two applications, both written for edtech, both in daily use inside Ucanly before we offered them to anyone else. They are sold as a deployment on your own domain and your own database, not as a seat on ours.

The counsellor desk, the manager’s sheet and the follow-up, in one place.

Most admissions teams run on a shared spreadsheet until it breaks. It breaks in a predictable way: two people edit the same row, nobody knows who called whom, and the manager finds out a lead went cold a week after it did. This replaces the spreadsheet with something that still feels like a spreadsheet — you can click a cell and type — but knows who owns each row, when it was allocated, and what happened on the last call.

Who is on it. Three roles. A counsellor sees only their own leads and their dial queue. A manager sees the full sheet, allocates work and reads the reports. A superadmin owns settings, users, templates and the sending setup. The route table enforces this before any screen is built, so “who can reach this” has one answer in one file.

What it does

  • A grid that behaves like a spreadsheetClick a cell and type. Select a range, bulk update, undo. Each user keeps their own column layout, and every edit is kept with who made it and when.
  • Allocation, with a way backNew leads land in an inbox. Allocate by hand or auto-allocate across the team, and undo either. A lead can be segmented to a second counsellor as its own working copy without taking it from the first.
  • A dial queue in priority orderEach counsellor gets their calls ordered rather than a list to scroll. Log the outcome and the row re-sorts itself. Stale leads surface, and escalation moves them back to a manager.
  • Enrolments and paymentsConvert a lead, record the enrolled price, mark it paid, and send a payment reminder from a template. Revenue rolls up by month without anyone maintaining a second sheet.
  • WhatsApp and email from the recordA WhatsApp Cloud API inbox with the conversation attached to the lead, plus templated email over Amazon SES. Broadcasts go to either channel. Meta’s webhook is verified by HMAC before a field is read.
  • Import you can reversePaste or upload a list, preview what will land, then commit — or roll the whole batch back. Duplicates are found and merged rather than silently created.
  • Reports, leaderboard and workloadConversion and revenue analytics, a team leaderboard, and a workload view a manager can reassign from directly.
  • Installs like an app, works offlineIt is a progressive web app: add it to a phone home screen, and an offline page answers when the network does not.
Compliance you would otherwise build. A tokenised public intake form for your website, RFC 8058 one-click unsubscribe on every send, a full audit log, and separate email and activity logs. Mail leaves under your own domain’s SPF and DKIM, which is what keeps it out of a student’s spam folder.

Send email your students actually receive, and see what happened to it.

Sending mail is the easy half. The half that decides whether the campaign worked is authentication, list hygiene and structure — and most tools hand that back to you as a support article. This does the deliverability work as part of the product: it checks your SPF, DKIM and DMARC records and tells you what is wrong with them, scores a draft against the signals that push a message into Promotions, and holds a suppression list that is honoured on every send.

Where the mail goes out. Two delivery paths, both your own AWS account: the SES v2 API directly, or a Lambda function if you want the send to run away from the web server. A queue and a worker handle throttling and retries, so a large campaign does not depend on somebody keeping a browser tab open.

What it does

  • Contacts, and fields you defineImport contacts, add your own custom fields, and use them anywhere — in a segment rule, in a template, in a report.
  • Lists and saved segmentsBuild a segment from rules, preview exactly who matches before you send, and save it to reuse. The count you see is the count that gets the mail.
  • Campaigns with real reportsA campaign builder with test sends and a live preview, then a report with opens, clicks, bounces and unsubscribes. A campaign can be paused and resumed mid-flight.
  • AutomationsTrigger a sequence from a contact entering a list or matching a segment, so onboarding and nurture mail runs without anybody scheduling it.
  • Deliverability, checked not assumedDNS checks for SPF, DKIM and DMARC with the actual record shown, plus spam-signal scoring on the draft. It tells you why a message looks like bulk mail before you send it.
  • Tracking and a link shortenerOpen and click tracking on your own tracking domain, with a built-in shortener, so the links in your mail are yours rather than a third party’s.
  • Suppression and one-click unsubscribeA suppression list checked on every send, and RFC 8058 one-click unsubscribe so a mail provider can honour it without the reader hunting for a link.
  • A queue you can watchAn operations screen showing what is queued, sending, throttled or failed, with an activity log behind it.

How it is sold, and what you are responsible for

We would rather you knew the shape of this before a call than after one.

Your domain, your database

Each customer gets their own deployment: your subdomain, your MySQL database, your AWS account for sending. Your student data does not sit in a database shared with another institute.

Runs on ordinary PHP and MySQL shared hosting. No Composer, no SSH, no container platform.

We install and hand over

We deploy it, run the installer, connect your sending domain and create your first admin. After that the app updates itself from its own admin panel when we ship a new version.

Best when you have a team already working leads or sending mail, and want to stop doing it in spreadsheets.

Pricing is per deployment

Quoted against the size of your team and how much of the setup you want us to do. We publish no price list because no two of these deployments have been the same.

Priced on request, agreed in writing before any work starts.

Two things to know before you buy. Each install serves one organisation — there is no shared tenancy, which is the point above about your own database, but it also means adding a second brand means a second deployment. And the email templates ship with Ucanly’s own wording; re-branding them for your institute is part of the handover rather than a switch you flip.
